Official Transcript and AP/IB Score Report Submission Process

Overview

This page outlines the process of submitting final official transcripts and AP/IB score reports as part of P1 onboarding. This process is required of all incoming P1s to ensure that, as stated in your offer letter, you successfully complete your bachelor's degree*, all remaining coursework, any outstanding required prerequisite courses, and continue to achieve good grades and meet our school's minimum eligibility criteria for admission. Anyone who will not meet these academic requirements by the first day of P1 Orientation will have their offer of admission rescinded.

7-Year BS/PharmD students will not have their bachelor's degree conferral be part of the review as they will receive their BS degrees at the end of their P1 year.

The Academic Update tasks which everyone is required to complete should be completed no later than Monday, June 30th. Anyone who is taking summer courses will have an individually provided deadline based on when their grades are published to submit their final transcripts for those summer courses. If for any reason extensions are needed, please contact sppsadmissions@health.ucsd.edu immediately. Once we have confirmed you've met all of our academic requirements, we will notify you via email.

 

Academic Update (due June 30th)

Please first determine which of the following statements apply to you and then click the corresponding dropdown below for next steps:

  1. You have taken courses since you submitted your application.
  2. You do plan to take courses over the summer.
  3. You have not taken any courses since you submitted your application and do not plan to take courses over the summer.
If only statement #1 applies to you
  • Submit a PharmCAS Academic Update (AU) no later than Monday, June 30th to include all final grades from all colleges at which you enrolled.
    • If your degree conferral will be a part of this AU, please ensure you submit the official transcript showing the date your degree was conferred. If this information is missing, you will be required to resubmit with the correct information.
  • Once your AU is in "verified" status, please email us at sppsadmissions@health.ucsd.edu to confirm that we may do our final academic review of your application.
If both statements #1 and #2 apply to you
  • Submit a PharmCAS Academic Update (AU) no later than Monday, June 30th to include both your current grades and your planned courses from all colleges at which you enrolled.
  • Once your AU is in "verified" status, please email us at sppsadmissions@health.ucsd.edu to confirm that we may do a preliminary final academic review of your application, and please note when your summer courses are expected to end so we may follow up with final transcripts around that time.
  • When your summer courses have ended and your transcripts are final, please move on to the Summer Courses section below for next steps in submitting your final set of transcripts directly to us.
If only statement #2 applies to you
  • Submit a PharmCAS Academic Update (AU) no later than Monday, June 30th to include your planned courses from all colleges at which you enrolled.
  • Once your AU is in "verified" status, please email us at sppsadmissions@health.ucsd.edu to confirm that we may do a preliminary final academic review of your application, and please note when your summer courses are expected to end so we may follow up with final transcripts around that time.
  • When your summer courses have ended and your transcripts are final, please move on to the Summer Courses section below for next steps in submitting your final set of transcripts directly to us.
If only statement #3 applies to you
  • Log in to your PharmCAS account. Verify that the current list of courses in your Academics section is up to date and that you have the most current versions of all of your official transcripts and AP/IB score reports (if applicable) uploaded to your application.
  • Once verified, please email us at sppsadmissions@health.ucsd.edu to confirm that we may do our final academic review of your application.

 

Summer Courses (deadline TBD)

For anyone who will be completing summer coursework, once those courses are completed and your grades (and degree conferral, if applicable) have posted to your final official transcript(s), please follow the steps below to deliver your transcript(s) directly to us. Academic Updates will no longer be able to be made in PharmCAS. You should select the dropdown below for instructions that reflect the delivery options your institution has available. If both delivery options are available, email delivery is preferred.

Email delivery

If you are able to send your transcripts with final summer grades electronically (preferred), please complete the following steps:

  • Email us at sppsadmissions@health.ucsd.edu so that we can work out and individualized deadline based on when your summer grades will be published.
  • Request that all transcripts with final summer grades (and degree conferral date, if applicable) be sent directly to the SOAR email address, sppsadmissions@health.ucsd.edu.
    • Please do not send your documents to the UC San Diego Graduate Division. They are a separate department and will not transfer any incorrectly addressed emails to us. If any documents are sent to the UC San Diego Graduate Division, you will be required to send them again, to the correct email address.
  • Email us at sppsadmissions@health.ucsd.edu to notify us that your official transcripts are on their way.
Postal service delivery

If you will need to send your transcripts with final summer grades via postal service, please complete the following steps:

  • Email us at sppsadmissions@health.ucsd.edu so that we can work out and individualized deadline based on when your summer grades will be published.
  • Request that all transcripts with final summer grades (and degree conferral date, if applicable) be sent directly to the SOAR address:

    • We will not accept any opened transcripts. If any transcripts are opened upon receipt, you will be required to send them again, unopened.
    • Please do not send your documents to the UC San Diego Graduate Division. They are a separate department and will not transfer any incorrectly addressed mail to us. If any documents are sent to the UC San Diego Graduate Division, you will be required to send them again, to the correct address.
  • Email us at sppsadmissions@health.ucsd.edu to notify us that your official transcripts are on their way. Please provide tracking details if applicable.
